    Job Description
    Rockland Trust is looking for an executive assistant to support the Chief Marketing and Customer Officer and team. This person must be exceedingly well organized, able to juggle multiple projects at one time, and enjoy the challenges of working within a fast-faced environment. The selected candidate will possess the ability to interact with staff at all levels and work under pressure, while remaining flexible, energetic, proactive, resourceful and efficient. The selected candidate will display a high level of professionalism and confidentiality in this crucial role. We are seeking someone who has excellent written and verbal communication skills, a strong decision-making ability, and a keen eye for details.

    • Provide administrative support for Chief Marketing and Customer Officer, including but not limited to scheduling meetings and phone calls, agendas and meeting minutes, handling and screening communication, PowerPoint templates and editing, managing calendar, making travel arrangements, tracking and reporting expenses, mileage, and volunteer hours
    • Manage the online customer community for the bank, including recruiting efforts for new members, regular communication to existing members, strategy for introduction of new capabilities through the software, and management of ongoing research, including presentation of results 
    • Assist in managing strategic planning for the company, including management of meetings, follow-ups and minutes, creation of PowerPoint temples and editing of strategy decks to ensure consistent formatting, and management of timeline for process
    • Develop the strategy with the Chief Marketing and Customer Officer for employee engagement including the management and implementation of the yearly engagement schedule for the team, consisting of: special celebrations, volunteer days, shadow days, and monthly engagement events; utilize regular surveys with team to gain feedback and develop recommendations based on data
    • Oversee the onboarding process by managing the onboard binder and its contents, walking each new hire through a strategic agenda that helps them immediately feel comfortable in their new setting, and completing appropriate forms to ensure new hires have desk setup, supplies, etc. on their first day
    • Oversee various Marketing team processes such as; invoice submission, vendor and contract setups, supply ordering, SAFs/RFS/facility ticket submission, and quarterly website review management
    • Manage the monthly budget process, including; pulling actuals, overseeing forecasts and managing accruals; manage the pulling of all reports from finance system
    • Attend meetings and capture notes, including performing follow-up on action items
    • Support the creation of presentations for team meetings, Board Meetings, public speaking engagements and weekly reporting
    • Organize events, meetings, or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers, and maintaining event budget
    • Handle highly sensitive communications and maintaining confidentiality of all corporate financial and business information
    • Partner with the rest of the organization and executive support staff for day-to-day management
    • Managing other administrative projects as appropriate/required
    • A minimum of 3 years of working experience supporting executives – CEO, President or higher level of executive team
    • Excellent planning, time-management, attention to detail, and organizational skills
    • Must be able to anticipate executives’ needs, demonstrate creativity and follow through on tasks with little direction, and prioritize and manage multiple tasks effectively
    • Strong written/oral and interpersonal communication skills
    • Associate’s degree in Business Administration, Marketing or equivalent work experience.
     Technical Skills:
    • Intermediate to Advanced proficiency in Microsoft Suite Products (Word, Excel, PowerPoint, Outlook, Access)
    • Proficient in managing comprehensive schedule for office and travel
